Daily Diary and Room Allocation

The Daily Diary enables you to view your enquiries, reservations and unconfirmed real-time reservations by room and week. 

From within the Daily Diary, you are able to allocate or assign a reservation to a specific room.  In addition to this, you also have access to custom shortcut buttons enabling you to send messages, make payments, and send payment reminder emails.

Accessing your Daily Diary

From within your Booksure Dashboard, click on the Bookings menu, and select Daily Diary.



Allocating a reservation to a specific room

Please note:  Establishment who have set up their individual room types as specific rooms, as depicted in the screen print below, will not be able to make use the allocation feature.


Instead, please amend the room type setup as indicated hereunder, to be enabled to make use of the room allocation feature.


Additionally, you will not be able to allocate a reservation to a different room type than was originally requested by the guest.  You will be required to first amend the reservation and change the room type details before being able to allocate such a reservation correctly.

Allocating a Reservation

From within your Daily Diary page, please click on the unallocated reservation that you wish to allocate.



This will open a View Reservation pop up.  From this pop up you are able to view which rooms were requested by the guest.  

In order to allocate this reservation, please click on the dropdown menu that appears alongside the Room Type in the Allocated Rooms section.  Thereafter, please select the room to which you wish to assign this reservation.  Once you have verified that the allocation is correct, please click on the Save button and close the pop up.



This reservation has now been successfully allocated to Room 3 Cottage.

Removing an allocation or reallocating a reservation

In order to remove the allocation on a reservation, please click on the appropriate reservation from within your Daily Diary page.  Thereafter, please click on the dropdown menu that appears alongside the Room Type in the Allocated Rooms section.  Select Unallocated and click on the Save button. 


This reservation now reflects as unallocated.


If you wish to now allocate the reservation to a different room within the same room type, please select the applicable room option from the Room Allocation menu, click on the Save button and close the pop up.

Overbooking warning

In the event that you have over-allocated or overbooked a room, these reservations will display in red in the Daily Diary, as depicted below.


Shortcut Buttons

Send Payment Reminder

This button will appear for any reservations that have an amount outstanding.  An email will be generated to your guest requesting that they settle the outstanding balance.

To send a payment reminder, please click on the applicable reservation from within the Daily Diary, and select the Send Payment Reminder button.

From the send payment reminder pop up, please indicate the date and time that you would like the payment to be made by.  This can be done by clicking on the calendar icon, and selecting the appropriate date from the drop down calendar.  Thereafter, please enter the time by clicking in the time box, and sliding the hour and minute sliders either left or right to decrease or increase the time.  Please click on the Send button to generate the payment reminder email to your guest.


Make Secure Payment

To process a guest payment, please click on the Make Secure Payment button from within the reservation pop up.  To find out more about the Make a Secure Payment feature, please click here.


This will redirect you to the payment page where you will be able to process the payment either via Booksure's Gateway, or a third party payment gateway.  To find out more about the Payment Gateways, please click here.

Confirm or Decline Reservation

This option is only applicable to our Real-time establishments who have their 24 hour authorisation option activated.  To find out more about this, please click here.

To confirm a real-time reservation, please click on the Confirm Reservation button.   Your guest will receive email notification that their booking request was successful, and their credit card payment will automatically be processed via the Booksure payment gateway.

To decline a real-time reservation, please click on the Decline Reservation button.

A decline booking pop up will appear.  Here, you will be required to enter the reason for the decline.  This reason will be included in the email that is generated to the guest, informing them that their booking request was unsuccessful.  Please then click on the Decline Booking button. In this instance, the hold placed on the guest funds will be released, and they will be notified of this.


Send Message

This button will display whether it be an enquiry, or a reservation.  To send a guest a message, please click on the Send Msg button.


A send a message pop up will open.  Here, please enter the message.  Thereafter, please click on the Send button.


Printing the Daily Diary

From within your Daily Diary page, please click on the Print Daily Diary button.

A print popup box will appear giving you options to print either the Monthly or Weekly view of your Daily Diary.
