Manual Booking and Payment Hyperlink

Creating a Manual Booking

This feature would be utilised when a reservation was made directly with your establishment e.g. a telephone or email reservation.  Once a manual booking has been created, you will be able to send the guest a hyperlink from which they will be able to process a credit card payment on their reservation.

Step 1

From within your Booksure Dashboard, select the Manual Booking option from the Quick Links menu located on the right hand side.


Step 2

Under the Guest Details section, select the applicable guest option.  If a New guest, select this option, and enter all the guest’s contact information. 



In the event that the guest that you are making the reservation for has stayed at your establishment previously, please select the Existing guest option.  Type in the guest’s name, and select the correct option from the dropdown list.  The guest’s contact details will automatically be pulled in.  Please verify that these are correct.






Step 3

Under the General Details section, please enter the Arrival and Departure dates, as well as the number of adults, children and toddlers.  Thereafter, please verify that the cancellation terms are correct and applicable by clicking on the Show cancellation terms button.  The default terms will apply, so if another set of cancellation terms are required, you may select these by clicking on Show Cancellation Terms, selecting the applicable option from the dropdown list, and then saving.


Enquiry Establishments:  Under the Accommodation section, select which Room/s you will be quoting on, and enter the Price incl V A T for those rooms on the right hand side.  Please note that should the guests be staying for more than one night, you will need to enter the amount for the total number of nights quoted on, and not the daily amount here.


Real-time Establishments:  An Available column will display here, and the number of available rooms per room type will be bold.  If there is availability, please click on the Rates button that appears alongside the requested room.



This will open a Rates pop up.  Please select the number of rooms requested from the Select Quantity dropdown.  Thereafter, please indicate which Rate plan that you want to apply to the quotation, and select the number of adults, children and toddlers.  The rate will automatically be calculated from your real-time rates. Please click on the Apply Rate button.


Step 4

Under the Services section, you may select any Services that have previously been set up under Settings – Services to include in the reservation.  The Quantity and the total Price incl VAT thereof will need to be added here.  To include a service, please click on the up arrow next to the quantity box, and enter the price thereof.  Services may be included on the reservation at no charge.


In the event that you would like to add a service that has not yet been set up, you may use the Additional line items to do so.  Please enter the description and price.  Click on the red circle to delete the line, or click on the Add new line item button, to add additional line items to include.  Press the Recalculate Quote Amount button to ensure that all the additional lines have been included in your total booking amount.


Should you wish to display a Discount, please remember to include a - before the number to ensure that the amount is deducted correctly.



Step 5

The total will automatically be calculated.  The deposit percentage will default to the percentage that was inserted under Settings - Policies.

Our Cabin members will not be able to alter the deposit percentage to less than 50 % of the total booking.  However, you may adjust it to a higher percentage by using the up arrow buttons next to the Deposit percentage box.

Our Studio and Premium members may adjust the Deposit percentage using the up and down arrow buttons, or alternatively click on the Fixed amount, and enter the deposit amount.  

Once you have verified that all of the information and pricing is correct, click on the Save Reservation button.  Please note that the Manual booking feature will not generate sms and email notification to your guest.


Step 6

This step can be used if you would like the guest to make payment by credit card on their reservation.  From within the reservation, please scroll towards the bottom, and click on the Payment Hyperlink button, located below the Payment section.


This will open a pop up window, which contains the hyperlink that will enable your guest to process a credit card payment on their reservation.  Please copy this hyperlink, and email it to your guest, with instructions for them to copy and paste it into their internet browser to enable them to make a payment.
